New ALERT IIS: Older Updates

  • January 27, 2011 — Good news: We have a new ALERT IIS server that is performing well. The web is running smoothly and noticeably faster on the new server, and the VFC Online Vaccine Ordering Site is responsive as well. Thank you for your patience over the last month as we dealt with unavoidable delays in vendor delivery. The IIS data has been refreshed this week and is now almost entirely up-to-date from the backlog we endured during the server issues.

  • The new ALERT IIS system is reaching an exciting phase in its development. Though vendor delays have postponed our planned rollout schedule, we are getting back on track to provide a new and improved immunization registry for Oregon. We are taking care to ensure the best possible experience for new users.
    Our vendor (Hewlett Packard, or HP) is fine-tuning several issues that affect our ability to import and merge data seamlessly. Until these issues are behind us, we will continue to update the existing ALERT system, and data exchanges with IRIS and other systems will proceed as usual.
    We are updating our rollout and training schedule and will post the updated version when it is complete.

    • Barcode and hard copy submitters: Our goal is to get transition packets to these clinics as soon as our vendor completes their work on the data exchange functionality.
    • Electronic transfer organizations: We are currently working with many of the technical staff at these organizations to ensure a smooth transition over the next several months.
    • IRIS users: We still plan to transition IRIS users in mid-March after school exclusion is over.
    • School and childcare facility users: some users will likely come onto the system in late spring/summer of 2011, but the bulk of schools and childcare sites will be trained in the fall of 2011.

    We’re striving to have one of the best immunization information systems in the country, and these things take time. We are continuing to test the system to ensure it meets the highest standards possible. We appreciate your participation and patience as we bring the new ALERT IIS up to its full potential.

  • December 6, 2010 — Oregon's New ALERT IIS Is Live!

    New users are beginning to roll on to the new system this month; our current target groups for roll-out are pilot sites, OCHIN EHR users and pharmacists. If you belong to one of these groups and have already attended training and received a login and password for the new system, click here (www.alertiis.org) to reach the login page. If you have attended training but do not yet have a login and password, contact the ALERT Help Desk at 800-980-9431 or alertiis@state.or.us. If you haven't yet attended training, please click on the Training and Support link above.

    For all users in later training/roll-out cycles, don't worry - data will continue to be processed through current means and available on the current ALERT website until your site transitions to the new system. Thank you for your patience as we transition all of our users statewide!
  • November 23, 2010 —ALERT IIS trainers are ramping up for the rollout. Five regional trainers have completed their intensive course in the new system and are now ready to train ALERT IIS users across the state. Oregon Immunization Program staff and pilot sites have already completed their training, some in webinars and others in on-site classes. Online videos and a training manual will be available soon.

  • Please don’t forget to send in your signed User ALERT IIS Site Agreement! New users must complete and return the User Site Agreement in the ALERT IIS provider packet before they will be allowed to attend training.     ALERT IIS will roll out in waves over the next 6 months. We have created training groups by separating clinics by the way they currently submit data to ALERT; however, some clinics will roll out as a group. Your clinic will receive an ALERT Transition Packet the month prior to your training month listed below.
    • December 2010 - Pilot sites
    • December 2010 - Pharmacies
    • January 2011 - clinics who currently submit to ALERT via barcode or hard copy
    • February 2011 - clinics who currently submit to ALERT via electronic data exchange
    • March 2011 - clinics who currently submit to ALERT via the IRIS system
    • April and May 2011 - all schools and child care facility partners

  • November 10, 2010 — Oregon Immunization Program staff members are diligently testing the new ALERT IIS to ensure that the system’s many features run correctly and efficiently. We expect to complete production migration by the end of November, at which time we’ll begin to train our pilot and OCHIN sites. Extensive and flexible training will be available, including webinars, online tutorials and onsite assistance as needed. Here is our expected rollout schedule, subject to change as the testing progresses:
    • November 2010: Pilot sites and OCHIN
    • December 2010: Pharmacists
    • January 2011: Private providers
    • March 2011: Public IRIS users
    • April 2011: Schools
    • May 2011: Child care facilities

    Watch for your transition packet to come in the mail, and sign up for trainings as they are announced!
  • August 31, 2010 — Construction and testing were completed by the ALERT IIS vendor on August 23, 2010, so formal User Acceptance Testing (UAT) is now underway. System roll-out will likely take place once flu season is underway, so in the interim users are recommended to submit influenza vaccine through their usual pathway (electronic transfer or barcode submission), or to use the ALERT user interface at www.immalert.org. Contact the ALERT Helpdesk to gain access to the online flu submission form: 800-980-9431.

    For all users who submit electronic data to the ALERT IIS, below are the codes for reporting influenza vaccine during the 2010-2011 season:

  • July 13, 2010 — Due to brief vendor delays, we plan to begin rollout for the new IIS in November. Roll-out of the base system will coincide with testing on a new web service that will offer a more user-friendly messaging transport option for electronic transfer sites who are sending HL7 messages. The State of Oregon is has released a Request for Grant Proposals to offer funds to sites who are enhancing their interoperability with the ALERT IIS.
